Step 9: Item-Level Display Settings – Determining How The Information Is Displayed

The Item-Level Display Settings page is used to customize an extensive set of properties that determine how the items in the Grid Display are to be shown to the end user.

1.     The first section of the Appearance -> Item-Level Display Settings page is the Row Icons:

      Item Type: Disabled by default.  When this checkbox is selected, an icon that represents the list item type is displayed to the left of each item in the Grid Display. Standard SharePoint item type icons are utilized.

      Edit Item: When this checkbox is selected, the standard SharePoint edit item icon is displayed to the left of each item in the Grid Display, providing quick and easy access to edit the item.

      View Item: When this checkbox is selected, the standard SharePoint view item icon is displayed to the left of each item in the Grid Display, providing quick and easy access to the detail page for the item.

2.     The Item Link Settings section has options that control the hyperlinks within the Grid:

      Target Window: Use this drop-down to specify the window in which linked items should be displayed. The default option is same, meaning the resulting page loads in the same browser window.  The new selection opens in a new browser window, while the same, no frame option will open the link in the same browser window but also outside of any frames..

      Go directly to document for document library items: Disabled by default.  When this property is enabled and the user clicks on document library item in the Grid Display, the user will be brought directly to the document. When the checkbox is left blank, the link will take the user to the edit page for the library item.

      Modify item links for URL masking: Select this option to have the Grid Display generate the links to each record in the display based on the domain name in the current user’s browser. This option is disabled by default.
 
This option does not affect the items returned by the Grid Display, only what happens when the user clicks on a link within the display. When this option is enabled and a user clicks on a link, it looks at the URL that the Grid Display is configured to reference. Then it generates the links to each record based on the domain name in the current user’s browser. It does not map the full URL, only the domain name.
 
As an example, say you have a site at sample.company.net, and you have multiple users who can access that site, but only by way of their unique URLs. When John Smith accesses a browser and types jsmith.company.net, he is brought to sample.company.net.
 
When Diane Brown types dbrown.company.net, she is also brought to sample.company.net. However, when John configures a Grid Display to point to jsmith.company.net, Diane can see the resulting display, but cannot successfully click on any of the links in the display; she does not have access to the site via jsmith.company.net and an error page is displayed when she attempts to click on a link.
 
If John were to enable the “Modify item links for URL masking” option, Diane would be able to access the links. The domain name is pulled from Diane’s browser address bar and the URL for the link is modified to http://dbrown.company.net/operations/team1. It does not do anything with the “http://” or “/operations/team1” portion of the URL.

      Show URLs as text, not links: This property applies only to URL columns. When it is selected, if a column contains a URL it is displayed simply as text; it is not “clickable.”

3.     The Row Stripes entry controls the background colors of the Grid.  The options are:

      Default stripes: Displays white and light blue stripes.

      No background color: Displays all rows with white backgrounds.

      Custom single color: When selected, a new section will open where a background color can be selected.

      Custom stripes: When selected, a new section will open where background colors can be selected for even and odd rows.

4.     The Highlight Row section includes two options:

      On row click: Disabled by default.  When enabled, the row is highlighted when an item is clicked.

      On action click: Disabled by default.  When enabled, the row is highlighted when an action is run on the item.

5.     The Grid Lines section has a single drop-down menu for handling the line display within the Grid.  By default, Grid Displays are shown without any grid lines. However, additional options are available from this drop-down to show vertical grid lines, horizontal grid lines, or both.

6.     The Font Color section controls the color of the typeface within the Grid.  The default font color applied to the items in the Grid Display is dark gray. However, this can be changed if you wish by choosing a color here.

7.     Once all necessary changes have been made, click on the Apply icon (Title: Apply Icon - Description: Apply Icon) to save the settings.
