Step 3: Define Advanced Options

The Advanced Options page of the Actions Wizard is used to define the success and failure messages to be displayed when the action is executed, as well as the colors to use on the action entry form, if applicable.

1.     Place a checkmark in the Item Links when using the action to copy one item to another place (or as the source of a new item).  This option will create a column in the destination list/library containing a hyperlink back to the original item.

2.     Within the Attachments field are three options:

      The Allow user to add attachments adds the capability to a list to support the uploading of an attached file.  Do not use with libraries and ensure the list supports attachments.

      The Do not allow attachments (default) prevents the uploading of attachments via this action.

      The Copy attachments from selected item option is used when the action is being used to create a copy of another item.  If the original item includes an attachment, this option will include the attachment in the new item.

3.     The Messages section is used for displaying a message when the action is run.

      The Success Message is disabled by default, allowing the user to immediately be returned to the web page when the action successfully completes.  To include a note that the action has been run, enter a value and enable the Show the Success Message option.

      The Failure Message defaults to displaying SharePoint’s reason for the action not completing.  To provide user guidance or additional support information, enter values into the Failure field.

4.  You can also specify the Entry form colors to use on the actions form.  To change colors, click on the Background and/or Font color fields.  In the resulting panel, choose a color or enter a hexadecimal code color into the box, then click on the Apply button.

5.     To make additional changes to the action, click on the appropriate item in the navigation zone along the left side of the page.

6.     Once all necessary changes have been made, click on the Apply icon (Title: Apply Icon - Description: Apply Icon) to save the settings and to return to the Action Wizard’s home page.

7.     To return to the site, click on the Back to Site icon at the top of the page.  To return to the Site Settings page, click on the Back to Site Settings icon.
